Review hand-off information (email or Chime) from previous shift's admin team.
Review Flash Report from previous shift.
Create, monitor, and respond to open cases in FMC during pre-shift preparation and throughout shift (and cases that impact following shift). Escalate any cases impacting current shift and next shift to Duty Manager (DM).
Create Truck Activity log
Conduct Pre Shift Yard Audit: Verify present loads have been checked in and match YMS status/dock door assignments. Verify all loads that have physically departed from warehouse have been checked out as reflected on the Truck Control Log and YMS. Ensure all trailers are pulled forward with doors closed and sealed and backed up against the way to ensure a quick pick up to prevent delayed departures.
Print copies of LDMs for all arriving flights for the current shift. Provide copy to the Ramp, Sort, and OB dock leads/supervisors. Maintain one copy of each LDM for Admin office.
Test and assign scanning equipment. Ensure each scanner is signed in with the employee's unique login credentials.
20 min prior to start of shift, attend Pre-Shift Meeting. Meeting is led by Duty Manager (DM) and attended by Load Planner (LP), Ramp (RS), Warehouse (WS), and Admin (AS) Supervisors. Discuss shift plan and risks.
Check status of arriving flight and verify on time arrival. Communicate with NCC on any impacted flight delays, rolled freight, or situations impacting flight performance (weather, unserviceable equipment, etc.). Communicate any changes to planned arrival times to Duty Manager (DM), and Ramp Supervisor (RS) and Warehouse Supervisor (WS).
Review LDM for flight arrivals and establish unload plan. Review in Troubleshooting Tool for sort points virtually manifested. Communicate unload plans for each flight to Ramp and Sort leads/supervisors.
Communicate with ROC on any impacted trailer delays or ad-hoc scheduling requirements based on estimated gaylord volume on arriving flight (see "Capacity Assumptions for Calculating OB Trucks Needed" section). Update down-stream facilities (AMZL and Sort Center locations) of any late departing loads or required ad-hoc scheduled trailers.
At least 30 minutes prior to landing, assign position/arrival gate for arriving flight and communicate gate assignment to Ramp Supervisor
Verify LDM information is entered and accurate (matches information on load plan and scale log). "Check out" and depart flight in YMS.
Proactively create case requesting driver ETA. Notify sort and inbound dock leads/supervisors of any changes to planned truck arrival times.
Complete BOL paperwork and check trailers into building.
Attach dock doors on YMS and cross check with dock team to verify YMS dock door matches physical dock door location.
Assign dock doors for outbound line haul loads. Communicate dock door assignments to outbound dock lead/supervisor.
Verify loads have been scanned and strapped prior to departure.
Complete BOL paperwork and check trailers out of building.
Check out driver following truck log to verify physical and virtual matching info. Attach seal after confirming information match with the Warehouse Supervisor (WS).
Inform NCC of rolled freight or expected rolled freight.
Submit daily Flash Report to Contrails. Attach Truck Control Log.
Submit any additional virtual inputs into Contrails (such as inventory inputs and MOP).
Transfer shift handoff information to Admin Supervisor (or Admin team members) on next shift via email or Chime.
