POSITION SUMMARY

The Facilities and Administrative Assistant is responsible for ensuring a smooth, efficient, and welcoming experience for employees at the Saltchuk corporate home office. This position will be part of the Facilities team that will serve the corporate home office and other Saltchuk companies housed in the space. The role will provide backup to the Receptionist and perform facilities tasks, shipping and receiving, administrative assistant duties, event planning and other special projects as needed.

JOB RESPONSIBILITIES

  • Functions as the backup receptionist for breaks, lunches, vacation and other times as needed.
  • Orders and maintains all office, kitchen, and restroom supplies.
  • New hire and term desk set ups and break downs.
  • Helps manage facilities requests email inbox for incoming employee requests.
  • Serves as a resource to answer questions related to general office services including who to contact for what, etc.
  • Develops and maintains excellent working relationships with employees, vendors, porters, property management staff, and others.
  • Enter Hudson work orders when needed.
  • Handles daily shipping and receiving functions and daily mail distribution.
  • Maintains the 6th and 8th floor breakrooms and ensures a tidy presentation every morning, mid-day, and end of day.
  • Provides a variety of administrative support functions, assists with special projects, and events and performs other duties as needed.
  • Conference room management – keep neat, tidy, chairs pushed in, miscellaneous clutter removed, whiteboards cleaned each night.
  • Supply rooms and mail rooms. Keep stocked with supplies, keep rooms tidy.
  • Manage copy centers and ensure paper is available and back stocked.
  • Employee matching letter program management.
  • Iron Mountain shipment and retrieval management.
  • Order Communications meetings lunches and manage set up and breakdown.
  • Order various other staff lunches, upon request, set up and clean up.
  • Miscellaneous Saltchuk staff “asks”, upon request.

QUALIFICATIONS

Excellent interpersonal and verbal communication skills required.

  • Outstanding customer service skills.
  • Ability to remain calm, positive, and friendly at all times, particularly in stressful situations.
  • Skilled at vetting incoming calls, before transferring, to prevent transfer of unwanted sales calls.
  • Experience on a busy multi-line phone system highly desired. Familiarity with use of a softphone to manage an incoming call queue from multiple lines helpful.
  • Strong relationship builder at all levels of the organization.
  • Ability to act as an ambassador to a variety of constituencies, reinforcing the Company’s values.
  • Proficient in MS Office, especially Microsoft Word and Outlook
  • Prior receptionist, office administrative and or facilities experience helpful.
  • Must be able to lift 40 lbs.

  • Pay Range $25.00 to $30.00 per hour (depending on experience)
  • A generous Annual Bonus opportunity of 15% of base pay with upside for high performance.
  • 3 Weeks of Vacation per year
