RESPONSIBILITIES
- Manages and arranges travel accommodations (transportation, lodging, etc.) for Technical Operations personnel as needed.
- Documents, maintains, and distributes comprehensive meeting minutes and summaries.
- Ensures all public and employee spaces are maintained, stocked, presentable and professional.
- Directly orders and/or picks up all required facility office supplies, ensuring inventory control and budgets are maintained.
- Provides daily general administrative support, data entry filing, scanning, auditing, reporting, special projects or event assistance to the Technical Records Department.
- Manages concur expense reports for assigned personnel, ensuring credit card holders within the Technical Operations Department complete and submit accurate and timely expense reports.
- Track departmental action items, deadlines, projects and administrative requirements.
- Supports employee appreciation and company event requirements including but not limited to, set-up and preparation, food orders and supplies, and facility/equipment cleanup.
- Coordinates with IT Department to ensure Technical Operations has all required office equipment needed to conduct daily operations – escalating repair and equipment replacement tickets as needed.
- Coordinate meetings, calendars, conference rooms, communications and departmental activities.
- Assists department manager with managing and tracking written communication between internal and external customers.
- Collaborates and trains with other company administrative staff. Providing back-up support as needed during vacations/illness.
- Promotes a strong safety culture and continuous improvement mindset throughout the organization.
- Performs additional duties as assigned by the Manager of Technical Records, Director of Quality Control (Chief Inspector) or Vice President of Technical Operations.

Qualifications
- High School Diploma and/or GED required
- Associate’s degree in business administration or related field preferred (In lieu of degree, additional 2 years or more of related experience may suffice)
- 4+ years of experience in administrative support and/or records management
- Must have a valid driver’s license at all times
Knowledge, Skills, and Abilities
- Respond effectively to changing priorities and time-sensitive operational needs.
- Understanding of records management, document control, and confidential information handling.
- Strong computer and data-entry skills, including the ability to learn department specific software systems.
- Proficiency with Microsoft Office Applications (Word, Excel, PowerPoint, Outlook, Teams, etc.)
- Ability to work independently, identify administrative needs, takes initiative and makes sound operational decisions while supporting a team in a fast-paced environment.
Language and Communication Skills
- This role has a high level of communication with company management, varied internal stakeholders, staff, regulators, external stakeholders, etc.
- Demonstrated ability to follow oral and written instructions.
- Demonstrated ability to give clear written and oral instructions to team members, vendors or other stakeholders.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, etc.
- Ability to write reports, correspondence and other related materials.
- Requires ability to respond effectively verbally and in writing to inquiries and department stakeholders
WORK ENVIRONMENT
- Work is primarily performed in a professional office environment supporting Technical Operations, with periodic activity in Aircraft Maintenance, hangar, warehouse and operational areas.
- Must be able to work flexible schedules including nights, weekends, and holidays as operationally required.
- May occasionally be exposed to aircraft noise, moving equipment, machinery, fumes, varying temperatures, and other conditions associated with hangar and maintenance environments.
- Use of company vehicle(s) to accomplish tasks and expediting needs as required.
PHYSICAL EFFORT
- Requires frequent use of computers, phones, office and kitchen equipment, and extended periods of sitting and computer-based work.
- Manual dexterity is required for input into or manipulation of spreadsheets, composing composition and reports, etc.
- The employee must be able to occasionally lift and/or move up to 25-35 pounds.
