About the Role

The Dispatcher is responsible for coordinating the end-to-end dispatch and transportation of petroleum products throughout the Pacific Northwest. This role manages inventory, load planning, sourcing decisions, scheduling, dispatching, and troubleshooting to ensure safe, efficient, and cost-effective fuel deliveries. The Dispatcher works closely with customers, drivers, suppliers, and internal teams to provide exceptional customer service while supporting daily operations, rail product movements, and supply transit activities. Success in this role requires strong problem-solving skills, attention to detail, the ability to thrive in a fast-paced environment, and a collaborative approach to maintaining reliable service across multiple regions. Cross-training and teamwork are essential, as each specialist supports business continuity and operational excellence throughout the logistics network.


Work location will be Lewiston, ID or Kalispell, MT.


New dispatchers are required to work from the office full-time during their training period, which is a minimum of 90 days. After the training period, eligibility for a partial remote work arrangement will be determined at the manager’s discretion. However, day dispatchers will be required to work in the office at least one day per week, with additional in-office days preferred.


Shifts: During training – Monday to Friday from 8:00 am to 5:00 pm / After training – Wednesday to Saturday from 7:00 am to 5:00 pm

What You’ll Do

  • Accurately processes customer orders for delivery and/or pick-up loads received by phone, email or fax according to Coleman Oil dispatching procedures. Provides accurate, timely information to transport drivers regarding each customer’s delivery.
  • Enter and review schedule, loads and carrier volumes.
  • Provide delivery solutions to maximize efficiency and volume.
  • Predetermine customers’ fuel needs through transportation software and/or tank monitoring system and customer account notes.
  • Communicate detailed account orders both verbally and electronically to appropriate team members and/or common carrier. Check for understanding with drivers to ensure accuracy of order details, special instructions and delivery times 
  • Review and audit pricing and allocations prior to dispatching to CityServiceValcon driver or carrier for anticipated price changes. Collaborate with customers and adjust as needed. If adjustment places customer in danger of a run-out, call the customer directly to discuss directions.
  • Collaborate with the sales team and drivers to resolve delivery issues quickly.
  • Provide customer and driver feedback to the sales team regarding pricing, billing or delivery concerns.
  • Collaborate with accounting to gather appropriate driver paperwork; answers questions on delivery to assist in prompt and accurate billing.
  • Collaborate with other dispatchers to assure a smooth transition of information regarding orders, facility issues, driver or maintenance activity. Communicates any cross geographical or function deliveries to maximize CSV resources.

Skills and Experience 

  • High School diploma, GED or equivalent in experience
  • A minimum of 2 years’ experience dispatching commercial vehicles
  • A minimum of 3 years’ experience providing exceptional customer service
  • Strong analytical, problem-solving, and decision-making skills with the ability to assess situations quickly, identify alternatives, and implement effective solutions. 
  • Excellent organizational skills with the ability to manage multiple priorities, maintain attention to detail, and work effectively in a fast-paced environment. 
  • Experience with inventory management, dispatching, logistics, or transportation software preferred. 
  • Proficient in Microsoft Office applications, including Outlook, Word, and Excel, with the ability to learn and utilize new technology and software platforms. 
  • Effective written and verbal communication skills with the ability to communicate professionally via phone, email, text, and collaboration platforms such as Microsoft Teams. 
  • Strong customer service orientation with the ability to build positive relationships with customers, drivers, suppliers, and co-workers. 
  • Ability to gather, organize, retain, and interpret information to support operational decision-making and process improvement. 
  • Demonstrated ability to understand and coordinate multiple moving parts across systems, locations, and operational functions. 
  • Self-motivated and able to work independently with minimal supervision while remaining accountable for results. 
  • Collaborative team player who willingly shares knowledge, asks for assistance when needed, and supports overall team success.
