Job Summary:
The Fuel Operations Assistant is essential in facilitating efficient and safe fuel transportation and distribution operations by coordinating logistics, managing inventory, and handling documentation to ensure a seamless supply of fuel and package products to customers.
Essential Functions
- Logistics Coordination:
- Assist in coordinating the logistics of fuel transportation, including scheduling and tracking fuel deliveries, and communicating with drivers, vessels, and terminals.
- Inventory Management:
- Monitor fuel inventory levels and package product inventories at terminals and storage facilities. Update and maintain accurate records of
- quantities, transfers, and usage.
- Documentation:
- Prepare and review shipping documents, bills of lading, and other necessary paperwork related to fuel and lube deliveries. Ensure accuracy and completeness of documentation.
- Quality Control:
- Collaborate with quality control teams to ensure that products meet required specifications and standards. Participate in fuel sampling and testing as needed.
- Data Entry:
- Enter and maintain data in inventory management systems, spreadsheets, and databases. Generate reports and summaries related to fuel operations.
- Customer Interaction:
- Communicate with customers regarding delivery schedules, order status, and other inquiries. Address customer questions and concerns professionally and promptly. Assist customers with fuel and package product purchases.
- Safety Compliance:
- Follow established safety protocols and procedures to ensure a safe working environment during fuel operations. Identify and report any safety hazards or concerns.
- Equipment Checks:
- Assist in inspecting and maintaining fuel delivery equipment, such as hoses, pumps, and meters, to ensure proper functionality and safety.
- Coordination with Stakeholders:
- Collaborate with internal teams, including drivers, dispatchers, and terminal operators, to coordinate timely and efficient fuel deliveries.
- Emergency Response:
- Be prepared to assist in emergency response situations, such as spills, leaks, or accidents, following established procedures and guidelines.
- Administrative Support:
- Provide administrative assistance to fuel operations management, including organizing schedules, taking fuel and lube orders, preparing reports, and managing documentation.
- Cash Handling:
- Opening and closing of registers and Opening and closing of transaction logs
- Performs other duties as assigned.
Education and Experience:
- High school diploma or equivalent. Associate’s degree or technical training in logistics, operations, or a related field is a plus.
- Prior experience in logistics, fuel operations, or a similar field is preferred but not required.
- Meticulous attention to detail in documentation, data entry, and inventory management.
- Basic computer skills, including proficiency in Microsoft Office and data entry. Familiarity with inventory management systems is a plus.
- Flexibility to work in a dynamic and fast-paced environment, adapting to changing priorities and schedules.
