Job Summary:
The Service Operations Coordinator is the primary point of contact for customer order fulfillment and service delivery for fuel and lubricant products. This role manages day-to-day dispatch operations, schedules and tracks deliveries, maintains accurate records, and supports customer accounts with professionalism and urgency. The Service Operations Coordinator plays a vital role in building lasting customer relationships while ensuring safe, efficient, and compliant operations.
Essential Functions:
- Receive and record customer orders for fuel and lubricant products (phone, electronic, or in person); schedule and confirm deliveries to meet customer needs, communicate requirements and delivery windows to customers and appropriate personnel.
- Create and track sales orders in the ERP system from entry through fulfillment; verify order accuracy, monitor status, and follow up to ensure timely delivery and complete customer satisfaction.
- Use dispatch and tracking software (e.g., SkyBitz) and the ERP system to plan loads, optimize routing, dispatch orders, and monitor truck positions; adjust as needed to maintain efficiency and service commitments.
- Communicate with drivers to support safe and efficient deliveries; maintain positive working relationships and help balance daily workloads consistent with safe operations and service commitments.
- Serve as the primary customer contact, responding promptly and professionally to inquiries, providing product and service information, processing requests accurately, and taking ownership of issues through to full resolution.
- Support customer account needs related to pricing, payment, and invoicing; prepare and distribute year-end tax statements for customer accounts; maintain and communicate confidential pricing information as directed by Operations Management and Sales.
- Maintain accurate records of all delivery documents; conduct daily reconciliation of truck inventory and delivery activity, and troubleshoot data flow issues between dispatch software and the ERP as needed.
- Build and maintain positive customer relationships by acting as a trusted liaison between customers, drivers, and internal departments, setting clear expectations and driving timely issue resolution.
- Follow DOT regulations and safety requirements; participate in safety meetings and promptly report injuries, spills, property damage, hazards, and operational concerns to management.
- Perform other duties as assigned.
Education and Experience:
- High school diploma or GED; and two years related experience or training; or equivalent combination of education and experience.

- Valid Driver’s License
- CDL B License preferred
