JOB SUMMARY Responsible for supervising the Customer Service, Documentation, Reception, and Accounting departments for the Canada Region, to ensure all Company policies and procedures are adhered to.  Works directly with Corporate Traffic to provide input related to Canadian export and import requirements and regulations and also to implement policies for Canadian operation to meet corporate standards.  Ensure that FMC rules and regulations are adhered to relative to the interpretation of tariffs and customs regulations.  Administers office management, HR functions and Payroll issues to all staff members to address needs and concerns and ensure smooth functionality. JOB SCOPESupervises both exempt and nonexempt staff.  Responsible for developing and managing departmental expense budget. PRINCIPAL DUTIES AND RESPONSIBILITIESResponsible for supervising employees regarding the completion of Bills of Lading, manifests preparations, AMS compliance, booking and rate quotes and processing of invoices, collection activities and monthly accruals. Manages the regional accounting activities including collection calls to customers, faxing required statements of account, use of PeopleSoft for account inquiries, running reports and general ledger account analysis. Performs all general management functions, including yet not limited to, budgeting, personnel actions and ensuring adherence to company policies and procedures.Anticipates, analyzes and trouble shoots problems with freight movements, ensuring highest levels of service are maintained.Also responsible for reviewing and evaluating performance, and making any required changes to salary and status as a result of that evaluator.Resolves problems as they arise regarding equipment, booking, receiving and documentation and communicates both verbally and in writing with internal customers, dispatch, sales, stevedoring, island managers and external customers, including Canada Customs.Formulates and communicate departmental policies and procedures, and provides continuous input for the development of company documentation policies and procedures for Documentation, Customer Service, Reception and Accounting departments.  Also responsible for orientation, cross-training and job-related training for all assigned personnel within these departments.Responsible for Human Resources activities including but not limited to maintaining confidential files on all employees, including time sheets job descriptions and offer letters; system set up with proper access codes for new employees, computer, telephone and workspace preparation as well as completion of various Company tax related forms.Acts as liaison for Payroll and Human Resources for employees in the Canada Region when issues arise or for the circulation of pertinent information.Attends and contributes to monthly sales and operational meetings.  Also participates in committee assignments providing input on quality improvement and other topics.  Attends monthly cost review meeting and provide account analysis and report for associated expense accounts and preparation of Quarterly Business Review.Prepares departmental productivity reports to monitor and control departmental performance through telephone stats, number of bills issued and reviewing of corrected Bills of Lading.Maintains relationship with service providers and ensuring costs are kept to a minimum for vendor services provided such as Northup Group building maintenance, Lyreco office supplies and other related services.Acts as Liaison with West Palm Beach or local repair service provider for office equipment issues, maintenance of computers, telephones, faxes, issues relating to IS personnel such as computer room equipment, servers and router installation.Performs all other assigned duties.EDUCATION: Bachelor's Degree in Business Administration or in a related fieldEXPERIENCE: Four years direct experience in the shipping industry, including experience in supervising and managing people.LICENSE: Valid Local Driver's License and Valid Passport.TRAVEL: 10% travel to both local and international Tropical locationsPHYSICAL: Office Environment - Manual dexterity to perform repetitive motion tasks on computer.  Ability to bend or stoop to retrieve lower shelf files.  Ability to reach overhead to retrieve upper shelf files.  ability to sit 1/3 - 2/3 of day.  Ability to travel in various modes of transportation (e.g. automobile, airplane, train etc.)  Occasionally exposed to outside elements during the course of traveling.LANGUAGE: English
