Summary: 

The Talent Acquisition Specialist plays a pivotal role in identifying, attracting, and onboarding top talent to drive our company’s growth and success.  Primary responsibilities will include managing the end-to-end recruitment process for both internal and external candidates, collaborating with human resources and hiring managers, and ensuring a positive candidate experience.   The 
 Talent Acquisition Specialist will ensure compliance with all local, state, and federal laws.  

Essential Duties and Responsibilities:

  • Utilize various sourcing methods such as job boards, social media, professional networks, and referrals to identify and engage with potential candidates.
  • Update and partner with marketing teams on social media strategy to establish TOTE’s employment brand.
  • Reviews, advises, and coordinates Affirmative Action Goals and documents good faith recruiting efforts. 
  • Coordinates with campus and military contacts on job fairs, information sessions and other events processing registration fees, coordinating materials and attendees for each event.  Follow-up after events to gather documentation and feedback for candidate engagement.
  • Partner closely with hiring managers and HR business partners to understand their staffing needs, define job requirements, and develop effective recruitment strategies via intake calls.  
  • Posts all positions in accordance with TOTE hiring processes, manages, and tracks referral programs and payment submissions. 
  • Coordinate with compensation specialist and HRD Shared Services on compensation recommendation and candidate availability for open positions. 
  • Review resumes, conduct initial interviews, review pre-hire assessments, and review candidates’ qualifications for each role. 
  • Schedule and coordinate interviews, provide interview question recommendations, coordinate candidate travel, collect feedback from interviewers, and communicate with candidates throughout the process.
  • Prepare and send written offers and benefits information to successful candidates.
  • Coordinates with HRBP on interview feedback to all unsuccessful internal candidates.
  • Schedule pre-employment screening to include drug, background, and reference checks.
  • Ensure a positive and professional candidate experience by providing timely feedback and maintaining open communication.  Conducts check-ins with candidates before and after offer and start dates to improve candidate retention.
  • Coordinates internal onboarding process by submitting new hire information to HR Systems and Reporting Specialist for data entry, notifies IT and Finance of new hire status once background checks are complete, and coordinates with HRBP for onboarding initiation.
  • Maintain accurate and up-to-date candidate records in our applicant tracking system (ATS), manage compliance items as assigned, and provide regular reports on recruitment metrics.
  • Stay updated on relevant labor laws and regulations to ensure compliance throughout the recruitment process.   

Qualifications:

  • Proven or experience in recruiting or in a similar support role.
  • Familiarity with recruitment software and applicant tracking systems.
  • Strong interpersonal and professional verbal and written communication skills
  • Ability to assess candidates via interview and assessment processes.
  • High level of discretion and confidentiality.
  • Excellent organization and time-management abilities.
  • Ability to work independently and collaboratively across multiple levels in the organization.
  • Passion for results and ability to work in a fast-paced environment.
  • Understanding of diversity and inclusion principles in recruitment.
  • Ability to understand, interpret and assess relevant labor laws and regulations for legal compliance. 

Education:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent work experience), preferred. 
  • Certification: PHR preferred.

While performing the duties of this job, the employee is regularly required to talk or listen.  The employee frequently is required to sit and use hands to operate computer controls, calculators, and telephone.  The employee is occasionally required to stand, walk, and reach with hands and arms, and perform duties at a marine terminal or aboard a commercial vessel. 

The employee must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision to review reports and the ability to adjust focus to computer terminal.
