Documentation Specialist (St. Croix)

JOB SUMMARY Input all cargo information in the system to crate a bill of lading.  Coordinate the clearance of inbound documentation with port authorities.  Provide customer notification of cargo arrival.  Collect monies when necessary, request release for the prepaid shipments and distribute this information to accounting. EDUCATION: High School Diploma or equivalent EXPERIENCE: One year experience in office or clerical operations. LICENSE: Valid Local Driver’s License. TRAVEL: N/APRINCIPAL DUTIES AND RESPONSIBILITIES1. Schedule vessels calls, prepare carrier documents, collect freights, conversions translations, and towage of Less than Container Loads.2. Input Bills of Lading into computer. Produce entrance manifest and related Tropical documents.3. Type discharge list, schedule transhipment of cargo, break bulk report, audit vessel stowage plan, inform warehouse of strip cargo.4. Obtain and report status of empty containers available on weekly basis. Coordinate and schedule charter vessels to evacuate same.5. Assign revenues, type billing statement to connecting carrier. Proofread and distribute to accounting department in West Palm Beach and St. Thomas.6. Monitor accounts payable and receivable. Monitor advance charges and resolve all discrepancies. Request wire transfers.7. Act as contact person for all Tropical outports or agents, cargo tracing, rate issues, and schedule.8. Coordinate outbound cargo responsible for pricing, documentation, booking cargo with Houston, follow-up necessary.9. Request and log Freight Correction Notices and make corresponding billing adjustments; maintain voyage files, and coordinate claims related matters.10. Responsible for all communication with shippers or cosigners, by daily telexes, faxes and telephone calls.11. Report TEU or tonnage for budget purposes, prepare reports for interline sales manager, coordinate outside cargo rating with West Palm Beach.12. Perform all other duties as requested.

Equipment Control CheckerClerk (St. Croix)

JOB SUMMARY Responsible for dispatching and receiving containers, computer data entry of equipment activity, releasing vehicles to customers, printing load list and manifest for general distribution, in addition to calculating and printing demurrage invoices. EDUCATION: High School Diploma or equivalent EXPERIENCE: Six months to one year experience in a related field.  Computer experience required. LICENSE: Valid Local Driver’s License. TRAVEL: N/APRINCIPAL DUTIES AND RESPONSIBILITIES 1. Dispatch loaded containers based on documents presented by truckers or consignee and inspect equipment for damages; where applicable note on EIR and fill out damage report. Verify container seal number and refrigerated container temperature. 2. Distribute on a daily basis Gate Activity Report to Outbound Freight Coordinator. 3. Inspect and release to customers vehicles, boats, office trailers; fill out Claim Report log and submit to Claims Department. Advise customer of procedures for filing claim. 4. Input data into computer on a timely and accurate basis gate activity reports, ship’s checker report, in addition to all other equipment activity reports received from the various Eastern Caribbean islands. 5. Print on a timely basis vessel loadlist and manifest and distribute same to Traffic Department for photocopying and general distribution. 6. Calculate, print and mail out demurrage invoices. 7. Conduct and reconcile monthly equipment inventory. Reconcile month-end inventory received from Eastern Caribbean islands and report discrepancies to Equipment Control Supervisor. 8. File equipment interchange receipts and maintain vessel or voyage folders. 9. Calculate weekly TEUs by vessel or voyage for Accounting Department. 10. Perform all other duties as assigned.

Documentation Specialist – Canada

Responsible for shipment verification process from tally receipt until cargo is cleared to load. Maintains successive customer contact to expedite cargo movement from clear to load status, ensuring appropriate export documents have been received and verified.No budgetary or supervisory responsibilities.1.  Retrieves tally or invoice in order of receipt from incoming bin to perform shipment verification process. Reviews tally to determine if all documents required to prepare cargo for shipment are received.2.  Follows up with appropriate parties (i.e., shippers, consignees, or freight forwarders)  regarding incomplete documentation to obtain information and process the necessary paperwork required for export shipments.3.  Prepares bonds, when necessary, to expedite shipment.4.  Contacts customers to resolve any discrepancies identified in shipment verification process.5.  Makes appropriate changes to the tally and records information regarding changes in the Traffic database system.6.  Coordinates any changes in the cargo destination with Operations for restickering of the freight.7.  Performs other duties a requested.EDUCATION: High School Diploma or equivalent.EXPERIENCE: Two years experience in office/clerical operations.   Ability to type 30 WPM.LICENSE: Valid Canadian Driver’s LicenseTRAVEL: N/APHYSICAL: Office environment.  Manual dexterity to perform repetitive motion tasks on computer.  Ability to bend or stoop to retrieve lower shelf files.  Ability to reach overhead to retrieve upper shelf files.  Ability to sit  1/3 – 2/3 of day.  Ability to work on feet for 1/3 – 2/3 of day.LANGUAGE: English

Customer Care Agent – Bahamas

Provides customers with the highest level of service and customer care through resolutions of problems, prompt responses to inquiries and follow up of customer complaints, logging of FCN’s and C-10’s and accurate rate quotes and processing export documents.  Prints company core business system documents as required.No supervisory or budgetary responsibilities.PRINCIPAL DUTIES AND RESPONSIBILITIESAnswers all incoming service-related phone calls, supplying rate quotes as needed and researches customer problems, knowledge of Tropical Shipping features and benefits of service.Liaisons between Tropical departments (Miami/PPB/Warehouse/Sales) to resolve customer issues and acts as a point of contact.  Handles all customer complaints including proper follow-up with information regarding the shipment and proper resolution, submits proper analysis to Customer Care Manager when completed to correct root causes of service failures.Assists walk-in customers. Collects accurate payments for freight and ensures freight cash box is kept secured.  Calculates total receipts and collections accurately and submits immediately to Accounts Receivables Clerk.Responsible for preparing C-10’s as requested daily; processing of cargo claims and export documents (OBL’s and freight invoices); responsible for performing cargo release and handling issues such as unclaimed, unmanifested, misquoted, and or shipment with shortages.Creates request for manual FCN’s, handles discrepancies on bills of lading from start to resolution within 24 hours.Ensures that established telephone response time is continually met.Prints company core business system reports once weekly, prints and distributes export documents for vessel.Advises Customer Care Manager of recurring problems and makes appropriate suggestions.Supports and actively participates in the Quality Improvement Process.Acts as back up for Traffic or Customer Care personnel when requested.Performs all other duties as assigned.EDUCATION: High school diploma or equivalent.EXPERIENCE: Five years experience in Customer ServiceLICENSE: Valid Local Driver’s License.TRAVEL: N/APHYSICAL: Manual dexterity to perform repetitive motion tasks on computer.  Ability to bend or stoop to retrieve lower shelf files.  Ability to reach overhead to retrieve upper shelf files.  Ability to sit  1/3 – 2/3 of day.  Ability to travel in various modes of transportation (e.g. automobile, airplane, train ect.)  Occasionally exposed to outside elements during the course of traveling.LANGUAGE: English
