TOTE Resources is looking for an Accounts Payable Support Specialist to join the team at our Downtown Tacoma office. 

 

In this position you will:

be responsible for performing all accounts payable support activities for multiple locations and vendor types.  This includes, but is not limited to, maintaining and protecting the vendor master file, opening and distributing accounts payable mail, scanning invoices into imaging system, validating scanning results, and reconciling vendor statements.

  

Main Duties and Responsibilities Include:

  • Open, sort and scan physical and electronic accounts payable mail into imaging system 
  • Confirm accuracy of information identified by imaging system and make corrections as needed        
  • Responsible for updating and safeguarding the vendor master file:
  • Review new vendor packets for completion; work with vendors to obtain missing documents
  • Verbally confirm and document all additions and changes to sensitive vendor information to identify fraudulent requests
  •  Accurately enter the information into the accounting system
  • Sort and distribute email from the accounts payable mailbox
  • Provide excellent customer service to internal and external customers/vendors
  • Reconcile vendor statements and resolve any discrepancies
  • Perform additional duties as assigned.  

The ideal candidate will have:

  • Two years of relevant accounts payable experience preferred
  • Bachelor’s Degree in Accounting (or related field) may be considered in lieu of 2 years of relevant accounts payable experience
  • High school diploma or equivalent 
  • Fluent in Spanish a plus
  • Keen eye for detail and accurate data entry skills
  • Ability to systematically follow processes 
  • Excellent organizational and time management skills with the ability to prioritize
  • Previous experience with accounts payable software, ability to identify opportunities and propose practical solutions
  • Excellent verbal and written communication skills
  • Must be a team player
  • Skilled with Microsoft Office (Outlook, Excel, Word, Teams)
  • Experience with imaging systems a plus

The salary range is $34,800 – $61,000 with an anticipated hiring range $45,000 – $52,000. Pay will be based on several factors including the candidate’s education, work experience, work location and specific job duties.
