The Opportunity:
The Office Coordinator is responsible for supporting the day-to-day operations of the office and ensuring that administrative activities run smoothly and efficiently. This role serves as a key point of contact for employees, clients, vendors, and visitors while providing a wide range of administrative and operational support.
The Office Coordinator helps keep the workplace organized, professional, and productive by managing administrative needs, coordinating office activities, supporting employees and leadership, and stepping in wherever needed to keep operations running smoothly.
Key Responsibilities:
- Coordinate daily office operations, schedules, meetings, and administrative activities.
- Cover reception duties when Receptionist is away. Answer phones, respond to emails, greet visitors, and direct inquiries appropriately.
- Maintain office supplies, equipment, records, files, and general office organization.
- Receive and distribute packages.
- Coordinate with vendors, service providers, and building management as needed.
- Assist with scheduling, meeting preparation, travel arrangements, and company events.
- Process invoices, purchase orders, expense reports, and other administrative documentation.
- Support management and staff with various administrative and operational projects.
- Maintain accurate records and ensure documents and information are organized and accessible.
- Help coordinate onboarding activities and provide administrative support to employees.
- Identify office needs and assist with resolving day-to-day operational issues.
- Handle confidential information with professionalism and discretion.
- Perform other duties and special projects as needed to support the organization.
Qualifications:
- High school diploma or equivalent; additional education or administrative training is a plus.
- Previous office administration, coordination, or customer service experience preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, Google Workspace, and other common office technology.
- Ability to multitask, prioritize responsibilities, and work independently.
- Professional, dependable, and service-oriented approach.
- Strong attention to detail and problem-solving skills.
