Description
Essential Duties
Operate safely and in compliance with all established HSSE policies and procedures
Uses the TM Command Center to monitor and identify missing, misdirected, and other freight issues
Uses all available tools and documents to locate freight, such as manifests, billing documents, videos, etc
Assist the receiving team in researching and resolving freight exceptions and unmarked freight
Responsible for preparing all paperwork on all OS&D freight, freight refusals, and claims, and communicates status and action plan with correct parties
Maintain accurate records and develop or update OS&D reports as requested
Coordinate with other terminal OS&D Coordinators to avoid repetitive OS&D issues
Field all OS&D claims, customer and customer service calls for both General Freight and Home Depot Freight
Work with management to cross train with other operations support staff to help cover duties during PTO, illness or peak hours
Qualifications
High school diploma or GED equivalent required
Two to four (2-4) years administrative experience in a multi-modal transportation related field (most tasks are learned on-the-job)
6 months of Forklift experience preferred, will train
Minimum one year experience using transportation industry software, Truck Mate preferred
Knowledge, Skills and Abilities
Proficient in MS Office applications, including MS Word, Outlook, Excel and Teams
Excellent written, verbal and listening communication skills
Understand Carlile data entry and shipping processes in order to conduct efficient freight searches
Knowledge of industry specific software programs, i.e. Truck Mate and Freight Snap
Ability to analyze and understand large volumes of shipping information
Follow instructions, respond to management direction, take responsibility for own actions, complete tasks on time or communicate alternate plans
Treats people with respect; keeps commitments, inspires the trust of others, works with integrity and ethically upholds organizational values
Strong organization skills
Advanced attention to detail and accuracy
Ability to multi-task and prioritize the work day
Must have excellent customer service skills and represent Carlile in a professional manner
Ability to take initiative and act independently while operating and reporting to a team of multidisciplinary stakeholders.
Working Environment
This job is done approximately 50% of the time in a fast-paced office environment and 50% of the time out on the Dock, Yard or Warehouse with exposure to inclement weather, varying temperatures. May be exposed to hazardous chemicals, materials and airborne pathogens. This position is subject to frequent walking, bending and lifting with mechanized equipment.
