Description

Essential Duties

Audit, Quality Assurance, and Compliance:

  • Ensure compliance with HSSE policies and procedures.
  • Supervise the QA and Credit teams, ensuring alignment with company standards.
  • Conduct regular audits of the credit team and billers to identify discrepancies and areas for improvement.
  • Document audit findings and create reports for department managers.
  • Work closely with the offshore company (WNS) to review billing data and complete assigned duties.
  • Ensure daily bill audits are conducted accurately and in a timely manner.
  • Perform real-time audits to maintain quality control.
  • Monitor QA productivity, ensuring continued improvement in production, ready-to-bill, and not-ready-to-bill accounts.

Billing and Financial Oversight:

  • Conduct weekly synchronization meetings with RED and perform monthly CAPA (Corrective and Preventive Action) on over/under bills.
  • Approve credits, rebills, and invoices within authorized limits.
  • Review monthly billing forecasts, including high-value invoices and delivery dates, for the QA Supervisor to report to Controller.
  • Conduct observations with internal departments to develop strategies for accurate invoicing.
  • Train operations personnel on proper freight bill creation.
  • Ensure accounts that are manually billed are sent to RED for automation.

Leadership, Training, and Customer Service:

  • Ensure the QA and Credit teams provide excellent customer service to both internal and external stakeholders.
    • Act as a mentor to team members, supporting their professional development.
    • Conduct regular performance evaluations to assess and improve team effectiveness.
    • Facilitate continuous improvement initiatives to ensure compliance and process consistency.

    Other Duties:

    • Serve as a key resource for process improvement and strategy development.
    • Perform other work-related duties as assigned.

 

Qualifications

·         High school diploma or GED equivalent

·         Undergraduate degree in accounting, finance, business or related field preferred

·         5 years related data entry, billing or accounting experience in the transportation industry preferred

·         2 years supervisory experience

·         2 years TruckMate experience
